Summary Export

In Spotler MailPro, you have the option to export statistics from your newsletters. Customize your export with data that is relevant to you. You can create a one-time export of the statistics or set up a task that automatically exports the statistics periodically. These statistics can be sent to you via email or automatically forwarded to an external system through an External Connection.

Overview exports

When you click Reports → Summary Export, you'll see an overview of your exports. If you haven't created any exports yet, this overview will be empty.

You will also see the options Insert and History. Use Insert to create a new export, and use History to view a log of your exports. You can find more information about adding an export under the heading: How to set up an export.

The overview also consists of two tabs: One-time exports and Recurring exports. Depending on the type of export, you'll see your exports listed here.

Once you've set up an export, you’ll have various actions available to perform:

  • Run: Use this button to start the export. You will receive the export via email with a link to download it. The link is valid for 24 hours.
  • History: View the log of the export here. This includes details of the export.
  • Edit: Use this button to make changes to your export.
  • Delete: Select this option if you wish to delete the export.

How to set up an export?

Go to Reports → Summary Export.

Click Insert to create a new export.

You will then go through four steps:

 

Step 1: Name, mode, and timespan

In step 1, you set the name and determine when or how often the export will be executed.

General

  • Name: Give your export a recognizable name.
  • Mode: Select whether you want to create a one-time export or a periodically recurring export. If you select Recurring Export, you’ll see options to set a recurring schedule for when the export will be executed.
  • Time and Time Zone: Select the time at which the export will be executed and the applicable time zone.
  • Day of the Week, Day of the Month, and Month: Choose on which days the export will be executed. An asterisk means that the field will not be considered. For example, if you select '1' for Day of the month and an asterisk for Month, the export will be executed every first day of the month.

Timespan

Here, you set the period for which you want to export data.

  • Type: There are different types you can select regarding the timespan:
    • Delta:
      One-time export:
      Export all data from the specified start date up to now.
      Recurring export:

      Export all data from the specified start date to the first recurring date for the first run. Thereafter, export only the data since the last export.
    • Relative: 
      One-time export:
      Export all data from the past weeks or months. Set the number of weeks or months to go back in time.
      Recurring export:
      Export every x weeks or months. Specify the number of weeks or months for each export.
    • Fixed:
      One-time export:
      Manually select the start and end time of the period for which you want to export data.
      Recurring export:
      Select a start and end time within which the export will be performed periodically.

After setting a period, you’ll see the exact date and time of the period for which the data will be exported at the bottom.

If everything is configured as desired, click Next to proceed to step 2.

 

Step 2: Select fields to export

In step 2, you select which fields should be included in the export.

Several fields are selected by default.

  • From the dropdown menus under Available fields on the left, you can add fields to the export. Click the + to do so.
  • In the table with Selected fields, you’ll see which fields will be included in the export.
  • You can adjust the order of the fields by clicking and dragging them.
  • Under Alias, you can change the name for the export.
  • To deselect fields, click Delete.

If everything is configured as desired, click Next to proceed to step 3.

 

Step 3: Select mailings to export

In step 3, you select which mailings should be included in the export.

Click the field and check the mailings in the dropdown list, or leave it empty to include all mailings.

Step 4: Configure the file

In step 4, you configure how the export file will appear and where it will be exported to.

Format

  • Format: Select whether you want to receive a CSV file or an XML file.
  • Separator: Select the character that will separate the fields in the export file.
  • Enclosure: Choose the separator for the file.
  • Encoding: Select the character set with which the file should be encoded.

Storage

  • Target:
    • E-mail download: Provide one or more email addresses where the download link for the export will be sent. The link is valid for 24 hours after being sent.
    • External connection: Export the data to an external location if an integration is available in your account.
  • Email Address(es): The email address to which the export will be sent.
  • Filename: By default, the name of the file will be used, but you can change it.

Date and time representation

  • Date format: Select one of the three options to determine whether the values should be exactly as in the system, by the user, or in a custom format you choose.
  • Time zone: Select the time zone in which the export should take place.

Then click Save to save the export or Save & Export to save and also immediately execute the export. The export will then be shown in the overview.
