Advanced Export

This functionality is not standard for current Spotler MailPro customers (before February 2025) and is an upgrade. Please contact your account manager for more information or email sales@spotler.com.

The advanced export feature can streamline your data workflows and empower your reporting processes. Furthermore, you have more control and flexibility when exporting key contact and interaction data than before. With advanced exporting, you can:

  • Export all contact-related information in one go, making it easier to manage and analyze your audience data.
  • Access detailed raw data on interactions, such as email opens, clicks, and more, for more in-depth insights into engagement.
  • Schedule exports regularly, ensuring your data is always up-to-date without manual effort.

To create your advanced export, go to the Data module, and to Advanced export in the sidebar on the left. Now click on Insert and a step by step guide appears to create your export. 

Step 1 - General details and time

In this first step, you enter some general details for your export, such as the name

Export modes

There are 2 modes you can use for the advanced export: 

  • One-time export: creates a single export 
  • Recurring export: creates an export based in the wished time, timezone and moment of recurrence. You can choose for Day of the week, Day of the month or Month (of the year)

Timespan

There are 3 types of timespan options you can use.

  • Delta: this export will contain data since the specific date that you will enter in the following fields. 
  • Relative: this export will relate to all data from a certain amount of weeks or months until the moment of the export
  • Fixed: this export will contain data within the chosen start and end date.

Step 2 - Data properties

In this part you choose the data properties that you want to be exported. For example in the image below: a contacts email, birthdate, the campaign ID of the contact, the ID of the mailings that were sent, and reports on opens, clicks and triggers.

If you want, you can add more of the available fields from the left side, by clicking the plus '+' icon. You can also delete selected fields by clicking on the Delete button

The Alias is the name the field will have in your export. You can change this to your liking. 

Step 3 - Filtering the data

This step is about further filtering the data and it's optional to do. When you leave everything blank, all will be exported. Otherwise you can specify which data should be in the export, using the following options:

  • Contact: choose the language of the contact and a filter the contact must match
  • Group: include or exclude contacts from a certain group
  • Interaction: if you want, you can filter on certain mailings, responses and interactions on emails. Or simply include all mailings by leaving this field empty. 
  • Event: if you have the Event module, you can filter on specific event actions e.g. accepted, declined or both

Step 4 - Format options

In the final step, you provide the wished format options for your export. 

Format

  • Format: select the format of the file, either a CSV or XML
  • Separator: this will separate the data within each record of the export file, with either a comma, semicolon, space, tab or vertical bar
  • Enclosure: this is the character that will surround each data value within the export file. For example: use "double quotes" as text qualifiers that will surround the data in the export.
  • Encoding: select the encoding type you want for especially the text values in your export file. Standard is International (UTF-8), but you can also choose other encoding types such as Western Europe (ISO-8859-1), Chinese (GB18030) and Apple Macintosh.

Storage

  • Storage target: you can receive a download link in your email or send it to a colleague, or choose one of the external connections that has been set up in your Spotler MailPro account under the Setup module → External connection. This can be SFTP, HTTPS or SG
  • Filename: this is already prefilled with the date in it, for a quick glance when the export happened.

Date & time representation

  • Date format: you can select the default format e.g. [dd/mm/yy] for date and [yy-mm-dd hh:mm:ss] for datetime. Or you can adjust it to your own wished by selecting the custom format.
  • Timezone: select the timezone in which you want the export to be. So even if a click was registered in a different timezone, it will be shown in the one you chose. 

Save

You may now save the export, or save and export it right away.
