Where do I find the trace mailing?
You can find the trace mailing in three different ways.
Immediately after starting a sendout, a pop-up window opens with a link to the trace mailing.
You can also go to the tab Content. Select an email that has been sent definitively. Click Tools, then click Trace mailing.
You also find the trace mailing on the Send tab. Go to the Email sendouts tab and click the left icon in the Trace column.
After clicking, a screen with sendout data will open. This is the trace mailing.
What information do I see in the trace mailing?
In the trace mailing, you see sendout data. These are the settings that were selected when sending out the mail. The most important sendout data to see here is:
- Restart-url: Use this URL to restart a sendout if it has been interrupted.
- Mailing: The name and ID of the mailing that has been sent.
- Sent to groups: The group(s), including ID, that the mail has been sent to.
- Send mode: Here you see whether it was a test sendout or a definitive sendout.
Only visible if applicable:
- Languages: In what available languages the mail was sent out.
- Filter: What filters were used on the sendout.
- Don’t send to groups: What groups were excluded from the sendout.
What options does the trace mailing have?
Within the trace mailing screen, there are various options. You see them on the top right.
- With the dropdown on the left, select the mailing you wish to view the trace mailing of.
- With the dropdown in the middle, select the sendout you wish to view the trace mailing of. One mailing can be sent out several times.
- With the dropdown on the right, select how often the trace mailing should be refreshed.
- The information icon on the left opens a pop-up screen showing which sendout tasks are still being executed.
- Use the download icon in the middle to download the trace mailing.
- Use the refresh icon on the right to immediately refresh the trace mailing.
What does the emergency stop button do?
With the emergency stop button, you can immediately stop a sendout that's still in progress. You find the button on the bottom right while the mailing is still being sent out.
How do I download the contacts the mailing has been sent to?
To get insight in who did and didn't receive the email, take the following steps:
- Click the download icon on the top right in the trace mailing screen.
- A zip file will be downloaded to your device.
- Open the zip file to find the .txt file containing the information.
What's in the .txt file?
- Trace mailing: Here you see the summary of the sendout data, just like in Spotler MailPro.
- Non-recipients log: Here you see the email addresses of contacts who didn't receive the email.
- Recipients log: Here you find the email addresses of contacts who successfully received the email.
With this information, you can easily check who did and didn't receive the email.
Why was the email sent to fewer contacts than the number of contacts in the group?
The email might be sent to fewer contacts than the number present in the group. The difference between the number of contacts in the group and the number of emails sent can be caused by several factors:
-
Filter: If a filter is used on the sendout, contacts who don't meet the filter will be excluded from the sendout.
- Language: If the sendout takes place using a specific language, contacts with a different language than the sendout language will be excluded.
- Do not send to: If it's specified that the mailing should not be sent to specific groups, then the contacts in these groups will be excluded from the sendout. If a contact is present both in the groups that is being sent to and the groups that is being excluded from the sendout, the contact will not receive the email.
-
Exclude group or list: To prevent contacts from getting mail who shouldn't, Spotler MailPro uses exclude groups and exclude lists. The contacts in these groups are being excluded from all sendouts in the campaign, and the contacts in the lists are being excluded from all sendouts in the license.
These are groups like Unsubscribers, Soft bounce, Hard bounce and Spam complaints and lists like the license exclude list. If a contact is present in a group the email is being sent to and also in an exclude group or list, the contact will be excluded from the sendout.
